The Cost of Caring workshop is a small-cohort experience. Holding a seat means we've reserved space, materials, and facilitator time on your behalf. This policy is designed to be fair to you, to the other participants whose seats depend on this one, and to the facilitators.
The short version: if Stacia or Jon decide you're not a fit during intake review, you get a full refund. If you decide to cancel, the refund depends on how close to the workshop date you cancel. There is no fine print beyond what's below.
1. Full refund — if we determine the workshop isn't right for you
After you register and pay, Stacia and Jon review your intake personally. If any of your responses suggest the workshop isn't a safe or appropriate fit — medical contraindications, current crisis state, or anything else Stacia clinically flags — we will issue a full refund within a few business days of that decision.
This is not a punishment. Holotropic-style breathwork has real physiological intensity, and the small group format relies on every participant being in a stable place to engage. A refund here means we're doing our job.
2. Participant-initiated cancellation
- More than 14 days before the workshop start date: 50% refund. The remaining 50% is non-refundable and covers held costs (venue, materials, facilitator allocation).
- 14 days or fewer before the workshop start date: No refund. At this point your seat cannot reasonably be filled.
3. Transfer to a future cohort
If you cancel inside the 14-day window but the workshop hasn't started yet, you can request to transfer your registration to the next Cost of Caring cohort instead of forfeiting your payment. Transfer is at our discretion and may only be offered once per registration.
To request a transfer, email jon@odyssey45.com before the workshop start date.
4. If we cancel the workshop
If we cancel or significantly reschedule the workshop for any reason — illness, force majeure, insufficient enrollment, anything — you receive a full refund, or the option to apply your payment to a rescheduled date of your choosing.
5. No-show
If you do not arrive on the workshop start date and have not requested a cancellation or transfer in advance, your registration is forfeited and no refund is issued.
6. How refunds are processed
All refunds are issued through Stripe back to the original card or payment method you used to register. Funds typically return to your account in 5–10 business days from the date we initiate the refund (Stripe's processing window, not ours).
Plain English: if we say no to your participation, you get all your money back, no questions. If you change your mind early, you get half back. If you change your mind close to the date, the seat is gone. We're a small operation; this is how we keep the door open for the next cohort.
